Key Accountabilities - To produce documents and letters as directed by fee earners by means of computerised word processing and document management systems. - To attend to clients by telephone and in person in a professional manner. - To assist fee earners with day to day administrative matters as required including:- Opening new files Closing files and archiving File organisation and filing in accordance with departmental procedures Assisting with billing procedures and other account enquiries Making appointments, arranging meetings and maintaining an up to date computerised diary Making travel arrangements Consolidating drives - To provide support to other secretaries with workload as reasonably required - To deal with post allocation - To take responsibility for compliance procedures in relation to ensuring fee earners have sent out letters of engagement - To produce reports when required - To attend appropriate training courses to improve all elements of job requirements - Any other reasonable task which may be required from time to time Experience - Advanced working knowledge of MS Office applications, particularly Excel - Accurate and speedy copy and/or audio typing skills - Extensive knowledge of legal secretarial duties and skills - Experience of document Management System - desirable - Experience of searchflow, Stamp Duty Land Tax (SDLT) and Land Registry - desirable - Experience of Dealrooms / Datarooms and Extranets - Desirable Personal Qualities e 'Can do' attitude e Demonstrates the ability to show initiative e Able to prioritise effectively e Ability to work under pressure e Flexible and professional approach e Excellent communication skills e Willing to undertake further training as required
